As Business Administrator, you will be responsible for ensuring that the operational backbone of Climate Week Zurich (CWZ) runs smoothly, efficiently, and professionally.
Working closely with the Managing Director and the whole Executive Team as well as our partner ecosystem and service providers, you will oversee the organisation's financial, business and HR operations. Your role is essential in enabling the wider team to deliver partnerships, communications, production, and impact, while ensuring that the organisation remains financially sound, compliant, and well-organised.
You will act as the central coordination point for many of CWZ’s administrative and operational processes, including finance & accounting, contracting, reporting, HR operations, governance administration, and systems and tools.
This role requires a highly organised, reliable, and proactive professional who enjoys creating structure, managing details, improving processes, and supporting a growing and mission-driven organisation with multiple stakeholders and projects running simultaneously.

At the heart of Europe, CWZ is the leading climate and sustainability platform uniting business leaders, policymakers, researchers, innovators and civil society to accelerate the implementation of climate solutions and catalyse business transformation across sectors.
In its inaugural edition in May 2026, CWZ broughttogether 244 partner organisations from every sector and scale to host 270+events showcasing how we can accelerate climate impact in everyday life andbusiness, drawing over 16,000 participations. Thenext edition takes place 10–15 May 2027.
Climate Week Zurich is an independent, non-profit association dedicated to accelerating the global sustainable transition. We're a small-but-mighty, collaborative and hands-on Executive Team, backed by our Board and broad network of Ambassadors.
What the Role Entails
Finance & Accounting
- Create, issue and track invoices related to partnerships, sponsorships, services, ticketing and other activities, and rocess incoming invoices and payments.
- Manage accounts payable and accounts receivable, and perform monthly account reconciliations and financial reviews.
- Coordinate budget tracking, forecasting and rolling liquidity planning.
- Pull together financial overviews and reports for management, funders, and the Board.
- Support reporting requirements related to grants, foundations, sponsorships, and public funding.
- Manage relationships with accountants, auditors, and financial service providers.
Administration & Governance
- Maintain organisational databases, contact lists, partner records, and internal documentation.
- Support contract administration and document management.
- Support internal operational processes and continuous improvement initiatives.
- Assist with governance administration, legal and compliance-related tasks.
HR Operations
- Coordinate recruitment, onboarding and offboarding processes for employees, interns, and volunteers.
- Prepare employment contracts and related documentation.
- Maintain HR documentation and compliance requirements.
- Manage payroll with external providers.
- Manage holiday, absence, and personnel records.
- Support the development of internal policies and procedures.
Systems & Office Management
- Help implement and manage internal systems,software tools, and access management.
- Support the optimisation of workflows and the efficient use of organisational tools and processes.
- Manage the office, ensuring a well-organised andfunctional workspace for the team.
Your Profile
Experience
- 5-10 years of experience in business administration, finance, operations, office management, HR, or related fields
- Background in small to medium-sized organisations, NGOs, associations, startups, or similar environments
- A track record of managing financial, people and operational processes
- Experience supporting fast-paced teams and multiple stakeholders
- Exposure to working with accountants, payroll providers and other service providers is an advantage

Role Details
Duration: open-ended
Start Date: as soon as possible
Workload: 40%
Holidays: 5 weeks per year
